Interview with Jeni Nikolova, manager Academica Gym

How did you meet with the Fitsys team?

You showed at the reception one day. 

What challenges and problems did you have before Fitsys?

The old system did not meet the requirements we had. One example is that it took more than a few clicks to make a sale or report a visit, and it slowed down. Another thing is that the coaches’ commission was a hell of a calculation. The revisions were also not convenient for us and we had a problem with every revision and discrepancies in the numbers.

 

How did Fitsys handle your requirements?

We work with Fitsys quickly, easily and with quality. The problem with the slow service was solved because with them the activities at the reception are done with up to 2 clicks and the service / sale is reported. The receptionists managed to serve our customers faster, there were no more queues and in the end the customers became more satisfied.

 

How fast did they launch the system?

Since we had a lot of requirements for the system itself, it took us almost 2 months, but on the other hand, all our requirements were met. It took the longest to integrate an access control system, it was the first access control system they implemented.

 

Are you satisfied with the support?

Yes, we are satisfied and would be happy to continue working with them.

 

Did you use another system and how did the migration go and how long did the transition from the old to the new system take?

We used another system. The migration took less than 2 weeks and all the information from the old system was transferred to the new one.

 

  How did you learn to work with the system? Was there training, are you happy with it?

The boys were extremely kind to us and trained our entire team. They made a presentation and demonstration of the whole team. Our employees started working fully fast. For the first few days, there was a member of their team all the time until all the shift workers went through to see for themselves that all of our employees could work independently.

 

How did your employees accept the new system?

They were extremely pleased, because as we said above with the old system, a lot of action was needed on each sale. They were very pleased with the fact that with one or two clicks they could sell a service or product to the customer against them. This facilitates their work and workload.

 

Have you made improvements to the processes with the help of the system and helped it to understand and manage your business better?

At the first meeting with them, we agreed on what our process is and what exactly changes we want to make so that our process becomes as optimized as possible, using the system. They assured us that all our requirements will be met. The changes were great, but they were only for the purpose of facilitating the work of our employees and thus improving the quality of service. We were aware of the risk of transferring data from one system to another, but the Fitsys team did a great job. They made all the settings on their system in person and on site.

 

Did you learn new things about your business using the system?

One of the disadvantages of the previous system we used was that we constantly needed help from maintenance to get a reference for certain actions. In a fitsys report you can do absolutely everything that the owner of a site can wish for. From visits, bar, goods, customer profiles, daily / monthly reports, commissions and everything you need.

 

Are new versions being released and is the system improving over time?

Yes, the boys are extremely creative. Whenever they are ready with a new system update, we are notified and accordingly take action to update. There are improvements in the vision as well as other functionalities.

 

Did the system help you launch new services?

Now the process of selling goods on credit are much easier. We manage to make the settings ourselves without the help of Fitsys support. But they always react if we need them.

 

Does the Fitsys system help you to be competitive?

It’s much better. Before, queues formed and people got nervous. In the evening, at peak hours with 4 events starting at the same time, we manage to process a client in less than 10 seconds. Given that there may be a multisport card and they must be marked in a multisport system, and also buy goods from the bar.
